With airSlate SignNow we save time and money. The documents can be signed in a much shorter time and you don't have to pay for sending them. Of course, you pay if you take the package but it is nothing compared to how much you get when you have to send it by post. Plus, in some countries, you have the surprise of not getting the mail at all or getting it too late.

We just started to use this software. I like how easy it is to sign documents! We have coworkers in different countries and this software saves time and money. We are now using the free trial, but for sure we will buy the package.

started so first you want to make sure you pull up the box uh vaxvacationaccess.com you should already have access to this or should maybe have pending access if you're a new travel agent to this resource I really really love vax vax is a really probably the most the most popular um supplier as a travel agent and you can see why because within Vacation Express you are able to book and access so many suppliers for example you have lag vacations located in vax you have apple blue tours Exotica Funjet Southwest United Universal and you can see the rest here okay another neat thing I like about Vox is that they have a lot of offers and incentives so they basically have an offer wizard uh promotions and they also have a lot of agent incentives that they offer they're really really good with Education and Training as well okay so please when you um if you haven't already come in play around look at it and learn and see all the things that Vox has to offer but it's a really really neat um tool to that you should have in your travel agent toolbox okay so let's get started here I'm going to show you how you can create invoices for your clients um so when you come in of course this is how the home page looks and as you can see you can access the suppliers you're looking for either by coming over here selecting suppliers and selecting whatever supplier you're looking to book with or you can come down here on the left under the vacation packets package search area and put in um the information for the client and to see what's available okay with whatever supplier so let's go ahead and jump in and get started so let's start with Funjet funja is a popular um travel company and I don't mind working with them I've booked clients uh trips with vacs honestly I also like to go for whatever is being offered for whatever time that my clients are looking to travel Okay so it can really truly depend that's all you have to do your research and compare pricing but funja is okay they're not my favorite favorite but I do like them um so Funjet we're going to select them from the drop down then the package type for this tutorial we're going to go ahead and select flight and hotel but as you can see excuse me there are also other options available okay and so you just select the option that fits what you and your client are looking for and then you're going to select what area let's go ahead and keep Washington in um but actually because I know we're going to use Mexico for this uh tutorial I'm going to go ahead and select the BWI but if you're again doing this for a client and you want to get as many options that are available for the time that they're trying to go away on their trip you would select of course whatever area it is say if we're still using Washington I would do all airports okay within the area of course this is going to be different depending upon where they're departing from but in this case it's available for the DMV area but I'm going to stick with BWI okay and now we're going to select where we like to go which is going to be Mexico so I'm going to go ahead and type in Cancun as you can see there's options so if you know that your client is only looking to go to Isla Mujeres you'll select that just Cancun you'll select that and so forth we're going to go ahead and click and select Cancun and Riviera Maya because I want to see all options that are available okay so I'll select that and let's go ahead and pick the date so I'm gonna go for the end of summer and we're gonna do four nights okay and I'm gonna pre-select to have added uh travel protection you can also change this once you get into um what's available once you submit but I'll show you I can show you that as well but it really doesn't matter you if you select it now or after okay but we're just going to select it now we're going to go ahead and let it search and do its thing here all right here we are so as you can see it has our dates uh BWI to Cancun August the 27th through the 31st now when it first uh populates with your search is going to automatically select an hotel and and flights okay you can most definitely go in and change those so let's start with changing these flights because I do not like to I don't like to fly personally with any stops depending upon how lengthy the flight is but usually I like to get there as soon as I can get there so let's go ahead you're going to select outbound flights all right and what I like to do is because I know that I'm looking for Non-Stop and I always look for Non-Stop for my clients as well I'm going to select non-stop over here out of the filter results okay you can play with this if you need to like if you know a price or if you if they prefer certain departure time or arrival time whatever you need to do use it to work smarter not harder and select what works especially if they're loyal to a certain Airline or they only want to fly certain airlines you can do that as well I usually only just make sure I opt for Non-Stop okay because that's what I know I want to book so here we are we have a few options three options for Non-Stop and it's one from 9 30 in the morning leaving on the 27th with Southwest 11 40 in the morning and then the last option is Spirit okay and when you come over to the right here you also can see for each fair type how much money it would be now keep in mind this is for the hotel that they pre-selected which is a Secrets wholesale employer to Carmen I believe it is um and it's showing you if you select this flight it's going to be an additional 32 okay and so you come down and that's for want to get away it goes all the way up to business select um this is the same for Spirit if you select a spare flight it'll be an additional 500 now we all know and that's for be Affair at that the best deal clearly is going to be with Southwest and also just by the numbers and also now you just have to figure out what time so I like to get there as soon as possible but maybe our clients are good with getting their midday okay and out of these selections both of them are the same price so let's just go with the 11 A.M with the 11 40 departure time and now we're going to change the return flight as well yeah all right and actually it did it for us cool and that's actually not a bad time at all so we got the outbound and return flight so now we're going to come down as you can see this is the hotel that they pre-selected for us okay but you can change this so what I like to do is I like to always select the hotels by ratings first if my clients already have an idea of the type of wholesale or the name of the hotel that they want to stay in then I'll just go ahead and I'll search say they wanted to stay at the review and which the new one is the real palace caculkin um if that's something they wanted to do we can select that and it will pop up okay but we're not really sure we just want to make we want to give them some options okay you always want to give your clients more than one option so let's go ahead and select the rating for five star hotels and I also like to populate this by the experience okay so if they're looking for all-inclusive we most definitely need to check that if they wanted to just be an adult's only scene we're going to select that as well and they also want it to be located around the beach we're going to select that as well okay those are the main ones I like to utilize but again depending upon where you're looking to book travel for your client this can either uh this can really really decrease the options available Mexico as you can see by us doing that it narrowed it down to 41 hotels which is more than enough options okay and that is why I love Mexico especially for all inclusive because there's so many options available all right and so we're just going to keep it down to those three as well and another thing I like to do is either uh sort by the highest rated hotels or pricing depending upon what they're doing and they also have preferred preferred is really good because it's going to prefer uh these Resorts that have the nice perks with them and commission okay and so it's really honestly just up to you there's really no right or wrong way to do this as long as your client is satisfied okay but for me the key is to work smarter and not harder and of course I want to deliver and and go above and beyond and deliver uh more than what my client might um is might be expecting okay so if they just tell me they only want one or two Resorts I'm gonna give them a Max of four or five just to be safe you know and and all every time I'm looking at these hotels I always think about where I would stay and what I would book for myself so I'm going to make sure that I find something that I would most definitely stay in I would never want to book anything for my clients that I myself would not feel comfortable with um staying in on my own okay unless they're really really like that's just their style and that's what they want cool but if they leave it up to me I'm gonna make sure I get them the best of the best all right and so let's go ahead and come in here all right so let's say they say okay we have a budget of two thousand dollars okay that's a thousand dollars a piece so what we want to do is we're going to go there go ahead actually let's go ahead and do 1500 a piece so we're gonna do three thousand as the max now sometimes I like to keep a little cushion because this is this price right here is only for the hotels this is not including the transportation or the travel insurance okay so you have to keep that in mind so if you want to leave a little cushion let's say we could leave a little cushion and do 28 100 okay and there you have it they have we have narrowed down to 27 hotels and these are the preferred hotels so alrighty I'm liking breakfast I know they're a good Brian excuse me this is looking at one thousand one looking like 1194 per person which is not bad and as you can see it breaks down everything that comes with it so you get exclusive perks included congratulations this one qualifies for exclusive perks Privileges and values available only through this vendor that's important okay um group ease bonus say you had a group this is a preferred hotel that works with for group ease okay and so basically in small groups you have to book a minimum of five rooms to qualify for exclusive discounts and you don't need a contract for that okay then you also have the um instant OCA price match plus hotels which includes an auto price match against online travel agencies and you earn 10 Commission on matches on these matches okay also it's the contracted connect hotels so they're already negotiated rates and inventory benefits okay so again if you're looking to do a contract perhaps with this hotel they're just letting you know that and with this room as well this alert Allure junior suite live big Laguna view King it comes with free in-room free Perks at the room which you get one bottle of wine or Rama tequila purse room per se 25 on um off of the spa services one per person per se and one in room family breakfast or champagne breakfast per room per se okay so these are the perks that you would get and they're valid until the end of the year if you book this hotel and this room specifically if you select this plus sign you can see all the other rooms that are available okay and it looks like the perks are available for all the rooms that they offer which you see here in the middle okay and so the pricing changes so as we know we have a budget of 1500 per person so let's see that's not even 1200 yet this is about 1300 and this is Ocean View I would go with this room just because it's a better view a nice Ocean View probably a little bigger than this sweet room maybe the junior suite maybe not because they're both Junior Suites it's just the view you get the gun review here and you get the ocean view here okay you can also click here and you get to see where it's located TripAdvisor ratings the total for two people what it would be and also you get to see pictures okay which is important what I also like to do is I will go ahead and I will look up this hotel yes TripAdvisor is good and we can read the reviews which are down here but I also like to pull this up and look on Google as well and do my own research okay from the newest ratings to see what people what type of vibe is giving currently and not three or seven years ago or two years ago okay what is going on this month how are people that are visiting liking it what it looks like they're they've been reviewing our average okay but breathless is a pretty good um Resort and uh Resort company and hotel so their brand is is pretty good and and that's why I know if I see their name it's no doubt about it that you're going to get good customer service and you're going to get good um Quality a good quality vacation for them for the money that you pay okay and so again we're going to look here and that was the king room and all you do is you come in and you click on it and this is they're going to be the same even if you go in and you're looking at Apple as a supplier if you're looking at Southwest as a supplier if you're looking at United it's going to look the same just like this okay it's just going to be different and the pricing could be different because it's going to be a different supplier all right and so that's that so let's see what else they have on here they have Hideaway Hideaway is nice I've actually stayed here before this is a relaxing Hotel it's not too much of a party hotel and it's not really located um near any anywhere where you can like walk like say if you were in the Playa Del Carmen um area on Fifth Ave I stayed at a couple of boutique hotels in that area or um if you stay in a hotel Zone I've also stayed there where you can kind of walk out and you can get off of the resort I like that as a traveler but your traveler might be fine with just staying on a resort staying secluded only leaving to go to activities and coming back okay so it's up to you to figure that information out but I was just saying that as I saw this I've been there before so I can kind of give them that um information because I've experienced it firsthand so you're gonna go ahead and open this up and this is looking like it's only a thousand a piece which is not bad at all we come down and you have the luxury Suite with the surge jacuzzi that's 1124 I'm sorry 11 27 and 97 a piece and you can see what's was um with it you get the upgrade bonus money available get paid so this you get to pay to upgrade at this property so select the results and stuff of their stay and above your pay with the automatic bonus commission okay and then you also will get 300 in Resorts credits two and a half year stay so if you if your client picks this Resort they will get an extra up to 300 and Resort credits to be used towards dinner experiences spa and other things okay at the resort which is a neat perk all right let's see what else Ryu Latina that's a newer Resort and this one offers free access to the Splash Water Park I believe it's adults only yes but these are all adults only so this is adults only as well Iberostar Grand prasio or Perez I'm sorry I'm butchering that and as you can see so you get a free transfer which is neat you can save money like that and it's 12.98 a person live Aqua so as you can see these are the options available okay and so when you come down you'll also see oh so for the pricing you have will free private transportation between Cancun airport and secrets Impressions okay so this only will apply if they select these two Resorts if not you have to go in and how you can do it is you'll hit features and you would go ahead and see so what I want to add on here is oh it has it we always want to include the travel protection that's up there and it is priced at 104 a person and then we're going to come down to transportation I just filtered it for that you don't have to filter it for that if you scroll down it's going to show you what's available so you have private transportation 171 private transportation up to four passengers 253 dollars sometimes it makes sense to opt for this rather than individual and sometimes it could be individual that can come out cheaper you have to just do the math okay but we only have two people here so this doesn't qualify anybody it doesn't qualify this is four up to four people so you most definitely could book this for two people if you wanted to but what I'm getting at is that if they're looking to be cost effective and say for example Transportation so one-way transportation is twenty three dollars a person so that's forty six dollars so it's about fifty dollars each way well fifty dollars total for one person so a hundred dollars total for two people round trip okay that's cheaper than this but if they have the money and they want to do it they would like to offer that you can add it okay and if you also come down they have extra perks um I'm sorry extra activities and things that you can do so you got the ATV you can get an AmStar Excursion voucher in which they basically pre-paying for well it'll come with this package and they can use the AmStar you can they can use that voucher to book with amstars to get um any activities or do any activities that they would like to do while they're on their vacation okay exclusive offer if you're staying at secrets so Secrets is running a promotion right now full day tour at Isla Mujeres and it does not come with the ground transportation but of course again and when you click on these it will give you information about the tour or the activity okay and this is all information that you can share with your client and I'll show you how that can look when you send them an official quote all right and it's endless endless endless activities and tours and this is just one place to book it you can also book this individually through another supplier like Expedia I like them they're one of my favorites or you can come in and go through box and it don't have to be with Funjet it could be with United or it can be with Southwest maybe they're running a promotion on activities or it could be Apple Vacations perhaps it's really just up to you and what you want to do but you should always research and compare to get your clients the best deal okay and so what we're going to do is we're going to at least add the transportation on here so it's going to be one way from and then one way to for whatever reason they don't have round trip okay so let's add it and we also got the transportation so this is the bare minimum for each quote when you quote your clients just be sure to always include travel well you don't have to do that let me not say always but I do it just because I don't want to book with anyone that does not want to get any um travel insurance because you just never know and it can just cause extra headaches in the long run so price it going forward I mean price it from the beginning and then make sure you have that Transportation insert for them okay and now we're going to go ahead let's finally select a resort okay so we want to keep it under the 1500 but I also want a lot of perks as well okay and I want a nice we want a nice we want to get a nice room so we're going to do a multiple all right so let's go ahead so what you want to do is you want to come over here and when you see what it says create sales email you're going to go ahead and click that and once you do that you're going to be able to see this ad to sales email depending upon whatever whichever um Resorts you're looking to add okay on this quote we're going to send to the clients so let's start with breathless breathless is always a good choice plus it's in our price range so we're going to go ahead and we're going to go ahead and select this Allure Junior sweet Ocean View King room okay we want to add that one to our sales email [Music] and let's go down we're going to add Hideaway let's go ahead and get luxury Suite Ocean View with church jacuzzi yeah I like that one a little better even though it doesn't do the upgrade bonus with that perk that's fine it's still bringing us under the price that we want okay and we're gonna have the ocean view and they're gonna get the tours let's see how much the swim out is oh the format is available and it's good it's under the pricing we need oh and also we're starting to get into the Diamond Club you see which is extra perks and you'll get more money a more Resort credits if you select these type of rooms so yeah let's go ahead and get s the luxury slim out luxury Junior swim out luxury Suite somehow so this might be a little luxury Junior so we're going to select this one okay that's two and let's just do one more give them three options I think I like this one as well let's see what it looks like foreign not bad not bad let's go ahead and just select that one too so the regular Suite is 12.98 and let's just go with that okay and we also want to make sure we come down and include the features as well now this is important when you're building the sales email so you can quote this out to your clients you want to make sure you select features and come down and make sure you add what you want to be reflected into the sales email to them okay so we're going to add the travel protection for credit you can also change this to cash refund but that one's a little more but it just depends on what you want to do I always at least do the credit okay and then we're going to come down and we're going to add the transportation as well okay now we have that and what you want to do after you've selected it is you want to select preview sales email okay beautiful and here we are now it's going to go ahead and pre-populate based off the flights you've selected and the hotels all right and the travel protection and transportation okay so what you can do from here I never ever ever send from here to straight to my client you can do that if you want I don't do it that way and I'll show you the way that I do it you can always send it to yourself as well to see how it looks but what I do is I'm going to come down here and I am going to copy this copy all this information here okay and we're going to open up email address I'm sorry open up a new email and what I want to start with to make it looks professional is I want to add in my logo now again you don't have to do this this just makes it look a little more professional okay so go ahead and I'm going to go ahead and paste would I just copy and boom we got it right here so this is the quote that we are going to send our clients okay and so it has the flight the hotels the rating of the hotel what they would get included the perks so if they selected this they can get the 300 in Resort credit they can see that they'll get a free perk in room champagne breakfast discount on spot and more and then they get to see that this would include free transportation so this number will be right but then they wouldn't have to have the optional add-on features for this Transportation if they were to select this hotel okay and what I also like to do is as you can see the travel protection is the same amount it's going to be this base total plus whatever the travel protection is but I just take this out because it's also at the bottom okay foreign and then another important thing to do is to go ahead and copy this at the bottom as well it just basically lets them know that pricing is subject to change until they yeah they make a deposit or book okay or book fully make a deposit to hold it which pricing will be held whatever they were quoted for or they booked in full but this is just a quote and it can change at any time and pricing does change it goes up and down it just depends but yes so for this one 24 3 25 07 and 25.96 okay and that is how our quote will look and we will go ahead and put in a subject Cancun foreign [Music] or if you know the name of the trip you can put that or just be creative but the main thing you want to make sure is that you at least have the date the location and that is the quote in the subject line okay and we'll go ahead and send it out to our clients and there you are going to show you what it would look like this is how I would look when they're in and no you cannot click these I thought you could but you can't what you could do though if you wanted to you can go in and you can hyperlink and Link it to the resort website if you wanted to go extra mile for your clients I've done that before as well but they also know how to just look up whatever they're looking forward to but yes okay and that is how you package a trip a group of options via box for client and quote them okay and what you want to do too is you can come in here and you can save this itinerary so when you come back you can pull it up and you would say Cancun August 2023 mop I'll just save it for that okay and it'll save it so that way when you come in if you go to suppliers remember this is Funjet Funjet you will go to existing reservations I'm sorry you would go to retrieve saved itinerary and then you're going to go ahead down here you'll see the mock and we're gonna go through it and itineraries are saved for 14 days okay and it should be coming up whenever it's ready it's moving slow today but yes that is how you would go about doing it there we go and it pulled it up again and we would just go in and change the hotel it's the same flights you have to go back into the hotel but the dates and everything are pre-populated for you also important if you wanted to know how much commission you would get you would select booking admin and it will tell you four secrets you will get a 365 commission you can also increase this if you wanted to you can set your own commission by a percentage or an amount you can adjust this if you want to that's another thing that people like to do um I know some Asians that like to utilize this if you charge them a fee basically like a book and fee or travel agent a research fee or something like that you can go ahead and you can up this to reflect that okay but this if not this is going to tell you flat out what you will get be getting paid out as commission which is already rolled into the amounts so
